Travel Support Coordinator

Your role

As a Travel Support Coordinator, you’ll be a key point of contact for event guests, helping ensure their travel and accommodation arrangements run smoothly from preparation through to the event itself. You’ll combine guest communication, coordination, and problem-solving while keeping the information behind the arrangements accurate and organized.

This is an entry-level, project-based role – no previous experience in travel or event organization is required. What matters most is a helpful attitude, attention to detail, good communication skills, and the willingness to learn. You’ll work closely with the project team, client, and service providers, with support and guidance from the team along the way.

Key responsibilities:

  • Support event guests: sharing information, answering questions, and resolving issues quickly in English
  • Managing and coordinating flights, accommodation, and other travel-related bookings and requests
  • Keeping guests travel information and data accurate and well-organized in Excel and Google Sheets
  • Document management and ongoing communication with service providers
  • Daily collaboration with the client and project team throughout the event’s preparation and duration

What we expect from you:

  • Good spoken and written English; good Estonian is an asset
  • A friendly, helpful attitude and a genuine willingness to support people
  • Basic Excel / Google Sheets skills and a readiness to learn more 
  • An independent, solution-oriented mindset and the ability to figure things out and get to a result
  • The ability to manage several tasks in parallel and stay calm during busy periods
  • No prior experience in travel or events is required, customer service experience or familiarity with Slack is a bonus

  • Flexible, part-time project-based remote work with the potential to grow into a long-term, full-time position (depending on the project, from November to August)
